How does enterprise search work?
Three layers, whatever the vendor calls them.
Ingestion. The tool connects to your systems and reads their content into an index or memory. Depth varies a lot here. Some tools ingest deeply and continuously; others query systems live through thin connectors each time you ask, which is slower and shallower. Speed and accuracy mostly get decided at this layer: a tool answering from built-up memory beats one re-fetching everything per question.
Permissions. Useful enterprise search needs access to private material, DMs, personal email, restricted folders, and none of it may leak between users. The permission model has to be enforced by the system itself, so a language model cannot be talked out of it.
Answering. Older tools return ranked links. Current ones read the retrieved material and answer the question, ideally with the source attached so you can check. This is the layer buyers notice, but it is only as good as the two beneath it.

The categories overlap and are converging. A tool that starts as search for humans grows agent access and workflows; an AI employee is only as good as the search underneath it. Where a vendor started still shapes what it does best, so ask which of the three problems you are actually buying for.
Enterprise search vs. federated search vs. intranet search
Federated search queries each connected system live and merges the results, with no unified index; it is simpler to deploy and slower, and it cannot reason across sources. What should you look for in an enterprise search tool?
Seven things separate the tools that work from the demos:
- Accuracy. The answer has to be right. Expensive models help, but most accuracy comes from unglamorous details in how a tool retrieves and ranks.
- Speed through memory. Tools that build and maintain a memory of your company answer in seconds. Tools that re-query every system per question make you wait.
- Real ingestion, not just connectors. A long connector list can mean deep ingestion or a thin MCP pass-through. Ask which connectors actually feed the memory.
- Permissions enforced by the system. Answers scoped to what each asker may see, guaranteed by code rather than by model behavior.
- A path for unwritten answers. Much of what your team needs is in nobody's documents. The strongest tools notice the gap, ask the person who knows, and keep the reply.
- Contradiction handling. A tool that reads everything will find sources that disagree. Good ones surface the conflict and get it resolved instead of picking silently.
- Pricing and hosting that fit you. Per-seat plus credits gets expensive at scale; check whether you can bring your own model key. And check hosting: encryption, tenancy, certifications, and region, EU hosting if that matters to you.

Search was the first feature because finding things was the loudest pain.
